Who We Are


The Realm One website is committed to maintaining the trust and confidence of our visitors and dedicated to the privacy of data submitted. In accordance with GDPR laws, we want to provide full transparency with our visitors by detailing what data we collect and / or store, why we need this information, how it is handled and kept secure. This policy outlines this in specific detail and so we encourage you to read on. The submission of any data on this website will require consent from the visitor by checking a consent confirmation button / checkbox before the submission can be sent. By consenting, you are formally acknowledging that you have read this Privacy Policy and are giving full consent to the collection, handling and storage of that data as outlined here.



Types of Data We Collect


Website Cookies:


Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow) that enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information. They are also used to help us understand your preferences based on previous or current site activity, which enables us to provide you with improved services. For example, by allowing cookies, our website can remember the items you have saved in your basket for the next time you visit. This applies to all fields of submission across the website. The search feature of the website may also remember previous searches for you or preferences of selection previously chosen. We also use cookies to help us compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future. By clicking any link on the site, a visitor is consenting to our storage of cookies. By default, cookies are only stored for up to 30 days and are automatically removed after that.


Google Analytics:


When someone visits our website we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site, understand what products are popular and where we can improve things. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.


Blog Comments:


Our WordPress based blog contains posts that visitors are able to comment on including reply to other comments. Every comment collects several parts of data from the visitor. A Name and Email address are required to comment, but only the name is shown publically on the comment. The Website Address field is optional, but if included, will be added as a text link to the comment poster’s name. When visitors click on the name of a commenter, they will be taken to the website included in the comment form submission if one was added. (As external links are out of our control, we advise that you only click on comment poster names at your own discretion. If you find any comment, user, or external link to be offensive, inappropriate or spam and would like to report it, you can contact us via the contact form on the contact page of this website.)

To post a comment or reply also requires consent from the visitor by checking a consent confirmation button / checkbox before the submission can be sent. By consenting, you are formally acknowledging that you have read this Privacy Policy and are giving full consent to the collection, handling and storage of that data as outlined here.

To provide more features for discussion threads on our blog, we use the highly popular, and well-reviewed commenting plugin ‘wpdiscuz’. This plugin integrated directly with the native WordPress commenting system and so all submitted data is only stored within our databases. This data includes Names, Email and Website Addresses as mentioned above, but the system also logs visitor IP Addresses as is standard with the WordPress blogging system. The IP addresses are only viewable by our Admin and not visible to the public. This data is required to help prevent spam and maintain discussion threads. As default, every comment submitted also logs data and time of submission alongside the comment itself.

As a comment can only be submitted by ticking the consent button, consent is automatically proven for all comments posted and logged. You should be able to edit or delete a comment you have made from a device with the same IP address on the front end, but it is your right to withdraw consent and request or remove your data at any time. If you are unable to do this from your side, then you can contact us via the contact form on our contact page and we will be able to do this for you.


Contact Form:


Our Contact Form on the Contact Page, requires Name, Email and comment information alongside the option to upload a file. Any data you submit through this contact form is not visible to other visitors or shared with anyone other than the necessary recipients within Realm One administration. Although we do everything can to keep all site data secure with encryption provided by the server, the form itself is provided by a trusted third party form plugin so we ask that you only upload a file at your discretion. Any data you submit through this contact form is not visible to other visitors or shared with anyone other than the necessary recipients within Realm One administration. The Realm One website logs and store contact form submissions in full. This includes all data submitted with the form as well as the IP address of the form user and date and time of submission. This allows us to access any submissions from the convenience of the administrative dashboard and also keeps a log of consent of data submission, rather than relying on email storage. The website also acts as a middle man to forward submissions to the designated administrative email account responsible for handling contact form correspondence. In this case all submissions go to which can only be accessed by a single designated administrator, who is professionally responsible for the handling of this data from this account. As a contact form submission can only be sent by ticking the consent button, consent of handling that data is automatically proven.


Custom Loot Form:


The Custom Loot Form is designed to make it easy for visitors to request a personalized design or change to one of our items. This form is located on a different page but the policies for this are exactly the same as our primary contact form. As the same policies apply, please read about our contact form above for more information on how this form is also handled.


Online Store Account:


The Realm One Store is built on the popular Woocommerce for WordPress platform. This also gives us the facility to provide you with the option to register and and store login information as an alternative to checking out as a guest. This services acts like the majority of other online store accounts, where your name, contact information, billing and shipping information will be stored. The account system is integrated directly with WordPress and although it is a trusted platform, you should still make sure to choose a strong password. A simple google search will assist you on how to create strong passwords online, but we recommend using a lengthy password longer than 7 characters with a mixture of numbers, letters, symbols, upper and lowercase and as always this should never be shared with anyone else. We have security features in place to protect your information, but if someone has access to your password, we are unable to prevent their access unless you inform us that your account has been breached. We currently do not store any payment information on this website as all of this is handled through paypal. When placing an order, you will be directed to a secure paypal page at checkout. Please visit the PayPal website to learn more about their data protection policies. We do however store information such as names, addresses, IP addresses and contact information. You may also have the option to add an avatar to your account for personal use. We do not share this information with anyone other than postal services as they will obviously see your address on the label when we send off an item. However they do not know the specifics of the item inside you have ordered only the generic category of the item such as 'Clothing' as required for customs labels. When you checkout as a guest, your information will still be stored on our website along with your order so that we can quickly identify who the order belongs to and where it needs to go. However, unless you choose to create an account, this information will not be stored under our users database. You have the right to remove your information or delete your account at any time along with changing your password. You will be able amend your information in the account page of the website once logged in, however if you would like your account completely removed then please feel free to contact us and we can assist you with that.


Online Store Orders:


The Realm One Store uses Woocommerce as mentioned above to handle and store order information. We need this information to provide users with the service of processing an order specific to the items purchased, shipping details, billing details, and correspondence information.  This includes addresses, contact information such as email and / or phone, along with the items purchased, specific requests and the IP and data and time of the order. We will also notify you via the email associated with the order of any updates to the order including but not limited to confirmation of order and completion of order / notification of dispatch. We may need to contact you concerning your order if there are any other updates you need to know about, but we will not use your email address to send out additional marketing correspondence unless you have opted in to our newsletter.


Online Store Reviews:


The Realm One Store uses the WordPress comment system integrated with Woocommerce to handle and store reviews for items purchased. Reviews can only be left by verified buyers by leaving a review whilst logged into the account they used to purchase an item. Reviews log and store the Email address associated with the account of the review, along with IP address and review content. The same policies for our other form submissions also apply for this too.




We us the highly popular Mailchimp to handle email marketing. To comply with new GDPR rules when it comes to newsletter subscriptions, we now require a 'double opt-in' system to subscribe. This means that when you subscribe using the form on our website, you will then receive an email to confirm your subscription. If you do not confirm this then you will not be subscribed. Existing subscribers, have or will be notified of these changes before the 25th May 2018 and will automatically removed from the mailing list unless they re-opt-in to receive it. Thanks to Mailchimps ease of use, you can unsubscribe or change your details at any time with these options available at the bottom of all Newsletter emails.


Social Streams:


We use a popular social stream plugin to display social feeds from our social media account. Whilst this doesn't collect any data from you directly, it does publicly show any posts that we have shared, and log likes and comments. This is handled by the policies of those specific social media platforms themselves, but if you have an issue with anything displayed on this website through association of those accounts then please contact us via our contact page form.

Storage of Data


All data is stored on a secure server with a variety of security measures in place. Any data submitted or gathered through the use of this website that requires storage is only used for the purpose of usage analysis, service maintenance, specific content updates and to provide a service for online store accounts and order systems. For example, a comment or review on a product is designed to be submitted with full awareness that it will be made public and will need to be stored within our database to appear to other users on the front end. Any data that you consent to submit to our website will be stored for an unspecified amount of time. We intend to keep this data available for as long as the website exists. However we are not obligated to hold this data indefinitely and any data submitted or logged may be removed at any time. By default, cookies are only stored for up to 30 days and are automatically removed after that. We also schedule regular backups of website files and databases. We do this as to protect and restore the website content in the result of a technical issue. These backups, as facilitated by trusted plugin UpdraftPlus, are stored off the main server, in a secure password protected cloud storage account accessible only to the administrators of this website.


Disclosure of Data


We cannot control the use of any information or data that you have chosen to share publicly through this website. However we will never share or disclose private information that we store administratively, unless legally obligated to.


Security of Data


The security of your data is important to us, but please remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we do everything we can to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

We use a secure server with features including but not limited to SSL technology. Our directories and databases are password protected to safeguard all information. In the unlikely event of a site wide data breach we will correspond with the relevant authorities immediately, and notify our users within 72 Hours.


Your Rights


You have the legal right to amend, correct or delete any information / data you have submitted through the use of this website. As we don’t use user registrations or hold accounts on this website, there are no stored controls or settings that you can access directly to remove something you have submitted in every case. Our Comments system may allow you to edit or remove a comment within a certain amount of time, but this may not always be possible and so we ask you to make any requests through the contact form on our contact page. If you would like us to send you a copy of any / all data that you have submitted through use of this website, edit or amend any information or delete any / all of data submitted then you can request this by contacting us here:  *We may ask you to verify your identity for certain requests to be accepted.
